POD/Warehouse Admin Clerk, Windhoek

About the Role

To ensure stock is accurately tracked and referenced and that all relevant processes are completed accurately and on time daily.

Qualifications

• Matric is a minimum requirement.
• Degree in Business Administration or Finance would be an advantage
• Knowledge of any ERP accounting system
• IT literate, with a working knowledge of Microsoft 365

Responsibilities

POD Reporting

• Send weekly outstanding POD report to all carriers.
• Follow up on Aged Items.
• Where required, contact Customers to request goods received notes.

Clean PODs

• Ensure that all POD's are returned from Driver's for Country deliveries when required.
• Ensure that the documents returned are correctly signed by the customer. Verify that quantities and values of invoice against goods received notes.
• Return the POD on ERP System - update status, capture correct return date, actual delivery date and the customer GRV number on the system.
• Scan all POD documents for e-filing and file hard copies in sequence by Principal.
• Follow up on variances between GRV’s and POD’s received in respect to over scans, claims, etc.
• Assist AR and audit teams with POD queries.

Invoicing

• Process invoices from completed pick sheets, which have been signed off and returned.
• Update orders with 'short picks' and 'no stocks'.
• Advise Planner / WTL and Sales Admin team of 'no stock' orders from the floor.
• Request cycle counts on recurring problem lines.

Labels (Country Carriers)

• Print labels for stock to be delivered around the Country, based on the planning control sheet (checked daily against final pick sheets) – Relief Duty when Dispatch Assistant is not available.
• Handover labels, together with invoices and trip sheets, to the Dispatch Controller for final checking and consolidation.

Other

• Data Capture for Tag Counts per the stock take schedule.
• Any duties which may be assigned to you from time to time by your Team Leader.
