About the Role

The POD (Proof of Delivery) Clerk is responsible for managing the receipt, processing, verification, scanning, indexing, and storage of delivery documentation. This ensures accurate records for billing, auditing, and customer service purposes.

Experience & Requirements

• Previous experience in logistics, admin support, or document scanning roles preferred.
• Basic computer literacy (MS Office, scanning software, document management systems).
• Attention to detail and strong organizational skills.
• Ability to work under pressure and meet deadlines.
• Good communication and teamwork skills.
• Reliable and punctual.
• Experience with transport or logistics documentation (e.g., waybills, manifests) is advantageous.
• Familiarity with electronic document management systems (EDMS) is advantageous.

Qualifications

• National School Leaving Certificate (Grade 12 or equivalent).

Responsibilities

• Collecting and verifying delivery documents (PODs) from drivers and transport staff.
• Processing POD’s and credits on the various principal systems.
• Scanning PODs and other transport-related documents using document scanners/software.
• Ensuring scanned documents are legible, properly named, and accurately indexed in the system.
• Filing physical PODs in a systematic and retrievable manner.
• Following up with drivers or depots for missing or incomplete PODs.
• Liaising with the billing department to ensure timely availability of PODs for invoicing.
• Maintaining confidentiality and data protection standards while handling documents.
• Assisting in archiving and purging of old records per company policy.
• Performing data entry and system updates related to delivery records.
• Supporting internal and external audit processes when required.
